We call the AD/coach to confirm all that. Trust snail mail??? Heck no.. card may get there a week after the game.
I ordered a memory card for my camcorder. USPS tracking service says it has been in Illinois for almost a week. It started in Michigan and is heading for Oklahoma. At this rate I will see it about Christmas.

Sorry Red, but our booking agent sends out an assignment sheet to the home AD, so we aren't bothered with it. But we do have a card that's printed up with the crew's names on it, that we give to each coach prior to the game.

Letter and a call.
Our crew (and many others I know), write a short letter. We tell them in the letter, when we want to have the coin toss, when we will arrive, how many cars are coming (helps them prepare parking spaces), and we give cell phone numbers of anyone on the crew to make sure they call us when any situation might change suddenly. To follow up, the crew chief makes a phone call repeating the information or making sure everything is alright. This helps us to not be surprised by what might be taking place before the game. This all helps us look for the right people when we arrive. Now when we get to the field we provide a actual crew card with our ID numbers on them, one for the JV/Soph coach and one for the Varsity Coach of each team. We also give one to the PA announcer when our Back Judge goes upstairs and has his pregame with him.
More so than anything it puts the AD's mind at ease and gives them much less to worry about on that busy day. Peace
