All I know is, as mentioned previously, if it is raining and I haven't heard anything, I'm calling someone. The association's I work for have contacts for every school we work, either the AD or coach. During summer and fall ball, we have lists of contacts for those teams as well.
I say, the onus is on you to make contacts, both with the representatives of the teams and your partner(s). You have no one to blame but yourself on this one. Chalk it up to experience.
