I use the one that Honig's sells. I have used it ever since I started officiating 10 years ago, and I really like it as it is easy to use, carry, and contains enough space to write all the needed information that I use for each game that do.

I use excel and have another table that has my mileage listed per school. After I've been to a school once and have measured the mileage, I don't ever have to do it again unless I move. When I enter the school name, it looks up the name in the other table and fills in the mileage.
In addition, I use outlook for scheduling. I enter the games on my outlook caledar (directly exported from <A HREF=http://www.RefTown.com>RefTown.com</A> (<em> gotta plug my site where it shines </em> ;) ) and can see all of them with full game details in outlook (and on the road trough my Pocket PC). I keep my schedule in three places:
1) Microsoft Outlook Calendar. I also use this as an officiating diary. Among the things that I keep in the notes of each entry are: teams, partners, game fee, meals, motels, mileage (including the acutal odometer readings), anything unusual that happened in the game (ejections and such), laundry, uniform and equipment purchases, telephone calls, etc. 2) Sharp YO-520 Electronic Organizer. I carry this with me everywhere. I can exchange information between it and the Outlook Calendar. I keep this up to date so that when I am asked if I am open or closed on a certain date I can give a definite answer immediately. 3) My wife helped me develope an Excel spreadsheet that is nothing more that a Schedule C in spreadsheet form. The lines of the Schedule C go from left to right and the days of the year go from top to bottom. On January 01st, I just push a button and every line for the previous year is summed up and I transfer the numbers to the appropriate line on the Schedule C. My wife and I received the last of our W2's on Saturday, Jan. 31st. During the the Super Bowl's (February 01st) halftime show (we missed the Janet Jackson show) my wife and I used the H&R Block online software to file both our Ohio and US income tax returns. We received our state refund on Fri., Feb. 06th, and our US refund on Fri., Feb. 13th, both via direct deposit. It was the easiest and fastest we had ever had our taxes done. |
I know this is not a computer help place but do you know if i create one on excel can i put a password to it so you have to have a password in it?

When I first mentioned the schedule book, I did not realize that many people had all these elaborate ways of keeping track of their schedule. I feel left out. I just use a Honigs book and my Outlook Calender and that is it. ;)

Thanks Jeff, this is very good, I'm going to use it. I especially like the "Uncollected fees" row...not that I ever have to worry about collecting fees... :rolleyes:

What the heck! I will throw a shameless plug for my Palm software, Assignment Secretary. This works with the Palm OS only.
Keep your schedule, game fees, etc and it links to the Palm Datebook. |

Just for the record, I use a very low-tech method to keep track of the work I do. It's called a DateBook, and it has a darlin' li'l picture of kittens on the front, with 25 pages, and it folds into the size of a check book. I write the location, level, time and number of games, and sometimes assignor, and then if I got paid or not. I use my PBOA school list to calculate mileage. When tax time comes around, I use my handy-dandy pocket calculator to add up all the money amounts, and the mileages, and write them directly onto my draft tax return -- the paper version. Add up all the expenses for which Ive thrown the receipts into a basket, and the whole Schedule C takes about 20 minutes. This is far less time than it would take me just to learn to use Excel, or something else, and I use no electricity, and I can do the work anywhere, not just in my basement where my computer is. And it's accurate, flexible, and convenient. And cheap. And I haven't been audited yet, so I'm obviously not triggering any red flags. Thanks to the Egyptians who invented paper and pencil 3500 years ago.

Camron - I agree that Palms datebook is limited but there are add on products that make it very productive.
The main problem I have with the Pocket Pc is the limitation of 3rd party software. Not a lot out there and hard to develop. The newer Palms have plenty of memory and can use compact flash, play videos, store pictures etc. Brandon - Really the only players left in the Palm market is Palm. Sony is pulling out. Get a color Palm with minimum 16 meg and whatever features you need. |

I keep it on my outlook calendar and it is shared between my work laptop, my home laptop and my phone. I also keep an Excel spreadsheet for tax purposes....well I'm a little behind on that one.

I have 3 Systems I put my schedule in.
I too have an excel spreadsheet that marks the miles and the amount that I got paid -- I do this for two reasons, 1) Taxes and 2) To keep track of my game reports. Our state requires we list all the games we worked, so having this spreadsheets helps me upload my games a lot faster than having to look through the calendar; it too will even show how much I made! |
